How much does custom software cost?

Short answer

Custom software has no fixed price tag. The cost depends on the scope, the number of screens and rules, integrations, platforms, data migration and maintenance. The same need can be met with off-the-shelf software, a setup on a ready-made core or software built from scratch, and the three cost very different amounts.

What drives the price

ItemHow it affects the price
ScopeMore screens, roles and rules mean a longer project.
IntegrationsEach connection is a separate job; the other program’s API decides how much work it is.
PlatformWeb, mobile or both; a store app takes extra work.
Data migrationMessy data can’t be moved until it’s cleaned up.
DesignReady-made components, or an interface designed for your brand?
MaintenanceUpdates, backups, hosting and support run every month.

Three routes: off-the-shelf, built on a core, from scratch

Off-the-shelf software starts straight away for a monthly fee per user; if your business fits its process, it’s the cheapest route. If it doesn’t, the team starts working around the program with spreadsheets and WhatsApp.

With a setup on a core, the parts that are the same in every business, such as customers, documents, permissions and reports, come ready, and the screens and rules are built around your work. Time and cost are a fraction of software built from scratch.

With software built from scratch, everything is written for you. It’s the most flexible route, and also the longest and most expensive. Quotes are usually worked out in person-days and rise directly as the scope grows.

With a build on a ready core, you can see the work before any code is written. At Pirdir a build goes through these steps:

Discovery10 working days

We map how your business works. We hold interviews and review your spreadsheets and paperwork. It costs €490.

PrototypeEnd of discovery

The screens become a clickable prototype. Your team tries the software before it is coded.

QuoteWith the prototype

You get a fixed-price quote. If you go ahead, the discovery fee is deducted from the setup.

Build2–4 weeks

The core and modules are set up. Customers, quotes, documents and permissions are ready; modules are fitted to your work.

Go-live1-week trial

Data is migrated and the team tries it. Two of your people use it for a week, then everyone switches over.

Sample budget: 8 users, 3 modules

At Pirdir, setup costs €2,900 and covers the core plus two modules; each extra module is €650. Usage is €24 per user per month, with a minimum of 5 users.

For a setup with 8 users and service, inventory and bookkeeping modules, setup comes to €3,550 and monthly usage to €192, making €5,854 for the first year. Prices are in euros and exclude VAT. Try your own numbers in the calculator below.

Frequently asked questions

Ask anything not covered here on the call, and we’ll send the answer in writing too.

What should I prepare before commissioning software?

A short note describing the problem you want to solve, how the work runs today and who will use the software is enough. It works better to define the screens and scope together during discovery.

How long does custom software take?

Setups on a ready-made core usually take 3–6 weeks. Software built from scratch can take months, depending on the scope.

Freelancer or software company?

A freelancer can suit small, one-off jobs. For business software that will be used for years and needs maintenance and support, continuity matters: whoever builds it needs to be reachable tomorrow too.

Why is there a fee for discovery?

Discovery produces a process map and a clickable prototype, which is the work that pins down the scope and the price. At Pirdir, discovery costs €490; the prototype is yours to keep, and if you go ahead with the project, the amount is deducted from the setup.
