WhatsApp CRM: every message on the right customer’s record.

WhatsApp CRM matches the messages arriving on your business WhatsApp line with your customer records and lets the whole team reply from the same line. At Pirdir, messages sit on the customer record next to quotes and service tickets.

A Wednesday at an air conditioning company

An AC sales and installation company where three people reply from the same line. The day starts with a message Julia Brandt sent at 21:47.

Overnight messages are on cards

Six messages came in overnight and each got the after-hours reply. Julia's card already shows 3 indoor units, Riverside and a €4,000 budget; the office assigns them in turn.

Catalogue out, task created

Lucas sends the catalogue from the same conversation. The card moves to "Quote" and a call task for 10:00 the next morning lands on his list.

No double replies

A regular customer, Mr Hughes, writes about a filter change. The message goes to Alex; when Emma opens the chat she sees Alex is typing and leaves it.

A photo becomes a service ticket

A building manager sends a photo of an outdoor unit dripping water. The chat is tagged "Service" and a ticket opens with the photo attached, straight to the install team.

The path of a message

As you scroll, the conversation moves forward in the real order.

The message lands on the shared line

The customer writes to the business number, and the message arrives in the dashboard.

It’s linked to the right record

The customer is found by phone number, with open quotes and service tickets alongside.

Someone on the team replies

The message is assigned to one person, so two people never reply to the same customer.

The record is updated

The quote, appointment or note that was sent is added to the customer record.

From personal phones to one line

The same AC company, the month before and the month after moving to a shared line.

Where messages go

Customers write to whichever employee's number they have; if that person is off, the message waits.

Everyone writes from the same business number and the chat stays on the customer record.

No personal phones

After hours

An evening message gets answered if someone happens to notice it in the morning.

An auto-reply goes out, and the need and budget are on the card by morning.

No lost night messages

Who replies

Two people write to the same customer, sometimes quoting two different prices.

Each chat is assigned to one person; the others see the reply and the price on the same screen.

No double replies

Follow-up

The catalogue goes out, the call is forgotten, and a week later the customer signs elsewhere.

Sending the catalogue creates a call task, and its owner is reminded when it is due.

Who is WhatsApp CRM for?

It isn’t for everyone. We also spell out when it won’t fit, so nobody wastes time on a call.

A good fit

Businesses whose customers mostly get in touch on WhatsApp
Teams where several people reply on the same line
Anyone who wants to see messages together with the customer record

You may not need it

Businesses getting a few messages a day answered by one person; the WhatsApp Business app is enough
Anyone wanting to send bulk advertising messages; that isn’t what this setup is for

Let’s get messages off personal phones.

On the call we talk about how you use WhatsApp, and we send you the steps and timeline of the API application in writing.

WhatsApp CRM: common questions

Ask anything not covered here on the call, and we’ll send the answer in writing too.

What do I need for WhatsApp CRM?

You need access to the WhatsApp Business API. The application is made through Meta in the business’s name, and Pirdir helps with the steps. Your current number can be moved over, or you can get a new one.

Can everyone on the team write from the same number?

Yes. The whole team writes from the same business number, and the record shows who replied to which message.

Can I send bulk messages to customers?

Under WhatsApp’s rules, the first message to a customer can only be sent with an approved template and with the customer’s consent. Messages such as reminders and updates are set up with these templates.

Where are the messages stored?

Message records are stored with the customer record on Pirdir’s servers in the European Union.

How is the price worked out?

It’s made up of a one-off setup fee and a monthly usage fee per user. Setup starts at €2,900 and includes the core and two modules; each extra module is €650. Usage is €24 per user per month, with a minimum of 5 users. Prices are in euros and exclude VAT; the final price is confirmed in writing after discovery.

Let’s hear about your business in 20 minutes.
