What is a B2B ordering system?

Short answer

A B2B ordering system is a web portal where a manufacturer or wholesaler lets its dealers and business customers order online at their own prices. Dealers see stock levels, their balance and the status of their orders for themselves, so orders come in through the portal instead of over the phone.

B2B vs B2C

On a B2C (business-to-consumer) webshop, everyone sees the same price, pays by card and gets the goods by courier. In B2B (business-to-business), every customer has its own prices, discounts, payment terms and credit limit, and payment usually goes through a customer account on credit.

Fewer businesses sell electronically than you might think. In 2024, 23.6% of EU enterprises with at least 10 employees made e-sales, according to Eurostat. The share grows with size: 21.4% of small enterprises, 31.7% of medium-sized ones and 48.5% of large ones.

Electronic orders brought in 19.5% of EU enterprises’ turnover in 2024. Most of it did not come from websites but from EDI: orders that flow straight from the buyer’s system into the seller’s.

The parts of a B2B ordering system

A sample screen that runs by itself

Dealer logins and permissions: each dealer has its own users.
Dealer-specific prices: group price lists, discounts, promotions, currencies.
Product catalogue and stock levels.
Basket and order approval.
Account balance, statements and credit limit checks.
Invoices, delivery notes and product documents.

The diagram below follows a dealer’s order through a B2B system.

Log in08:40

The dealer logs in to the portal. With their own account they see only their own prices and balance.

Basket08:46

They pick the products. Stock, their own price and the case quantity are on screen.

Order08:49

They place the order. The credit limit is checked automatically; orders over the limit wait for approval.

Picking10:15

The warehouse prepares it. A pick list appears in the warehouse; if an item is short, the dealer is notified.

Invoice15:30

Shipping and invoice. The delivery note and invoice go to the accounting software, and the dealer’s balance is updated.

Example: the dealer enters the order instead of phoning it in, so wrong prices and stock errors are caught at the start.

How to set up a B2B ordering system

Pin down your dealer groups and price lists.
Link product codes and stock data to a single source.
Decide where account balances and credit limits will come from; usually your accounting software.
Write down the order approval rules: credit limit breaches, promotions, minimum order.
Trial it with a few dealers, then open it to all of them.

Connecting to your accounting software

The most important connection in a B2B ordering system is your accounting software. That’s where dealer balances live and invoices are issued. Once it’s connected, dealers see their up-to-date balance in the portal, approved orders become invoices and nothing is entered twice.

Example: an order placed by the dealer with their own price list; it reaches the accounting software with the same amounts.

How to get dealers using the system

In the first month, enter phone orders into the portal together with the dealer.
Give orders placed through the portal a small advantage, such as priority dispatch or an extra discount.
Share balances and statements only through the portal.
Make your field sales team the portal’s ambassadors.

To get a rough idea of what taking orders by phone and WhatsApp costs you, enter your own numbers:

The cost of taking orders by phoneWith your own numbers
Time spent taking orders (hours/month)–
Cost of wrong orders (€/month)–
Cost of errors per year (€)–

Calculation: 22 working days a month. Time = orders × minutes × 22; error cost = orders × 22 × error rate × cost per error. Include wrong prices, missing items and returned shipments in the cost per error.

Frequently asked questions

Ask anything not covered here on the call, and we’ll send the answer in writing too.

What does B2B mean?

B2B stands for business to business, meaning sales from one business to another. A B2B ordering system is the portal where those sales happen online.

Do I need a separate website for a B2B ordering system?

No. It can run at an address linked to your current site, such as dealers.yourcompany.com.

Will dealers want a mobile app?

Usually a phone-friendly portal is enough. A store app can be built separately.

How long does it take to set up a B2B ordering system?

Usually 4–8 weeks, depending on your price structure and the accounting connection.
