Off-the-shelf or custom software?

Short answer

If your business looks like the standard process in your industry, off-the-shelf software is cheaper and faster. If your process is different, you need to bring several programs together, or your team works around the software in spreadsheets, custom software or a setup on a ready-made core is the better route. The five questions below show which one fits you.

Which route fits you? Five questions

1/5How similar is your process to other businesses in your industry?
2/5How many different programs or files do you type the same information into today?
3/5How many people will use the software?
4/5Will you need to change the screens and fields to fit your business?
5/5When do you want to start using it?

To compare the three paths on equal terms, work out the total over several years. The default figures are examples; enter the quotes you have for off-the-shelf and fully custom software.

Total cost of the three pathsEuro, excl. VAT
Off-the-shelf–
Built on a ready core–
Fully custom–

Calculation: off-the-shelf = users × monthly fee × 12 × years; ready core = setup + users × monthly fee × 12 × years; fully custom = development + development × maintenance rate × years. The ready-core defaults are Pirdir’s prices.

The risk in each route

Off-the-shelf software: if the process doesn’t fit, the team works outside the software in spreadsheets and WhatsApp, and the software falls out of use.
Built on a core: requests beyond the core’s limits need extra development.
From scratch: the scope grows, time and budget overrun, and if the team that built it breaks up, maintenance gets hard.

Before you decide

Draw today’s process as a flow, not just notes on paper.
Use free trials of off-the-shelf products with real work for a week.
Look at which spreadsheets are still kept alongside the software.
If you’re considering custom software, ask for a clickable prototype first.
MapWeek 1

Draw today’s process as a flow. Who does what, in which order; one line per step.

TrialWeek 2

Try off-the-shelf tools with real work. Use the free trials for a week with real records.

GapsEnd of week 2

Count the work left outside the tool. Which spreadsheets and WhatsApp groups are still needed?

PrototypeWeek 3

Ask for a prototype of the custom option. Click through the screens before anything is coded.

DecideWeek 4

Compare the three paths on equal terms. Few gaps: off-the-shelf. Many gaps: a build on a ready core or fully custom software.

An example decision process: in four weeks you choose with tested facts instead of guesses.

Frequently asked questions

Ask anything not covered here on the call, and we’ll send the answer in writing too.

Why isn’t off-the-shelf software enough?

Off-the-shelf products are built for an average business. The further your process is from average, the more manual work piles up around the software.

Is custom software more expensive?

The upfront cost is higher. When it’s built on a ready-made core, the gap narrows, and in the long run the cost of manual work has to be counted too.

Is it possible to begin with off-the-shelf software and move to custom later?

Yes. If you start with a product that lets you export your data, switching later is much easier.

Which route does Pirdir recommend?

It depends on the work. If off-the-shelf software is enough, we tell you so; Pirdir builds on a ready-made core and develops from scratch when needed.
