Customer portal software: customers stop calling to ask for updates.

Customer portal software gives your customers a web portal where they open their own requests and see the status of their jobs, their documents and invoices. At Pirdir, the portal is linked to service, order, project and account records, and each customer sees only their own records.

A Thursday in a service company's portal

One request from North Court's management, at an AC service company that looks after buildings under contract. Nobody rings the office.

10:30

The request comes in with a photo

Hannah Ward reports through the portal that the AC on the third floor has stopped, with a photo. It reaches the office as request #4830 and goes to Daniel.

The office writes one message

From inside the request the office writes "Daniel will be with you at 11:30, the part is in the van." Hannah sees the notification and doesn't call.

The stage changes by itself

When Daniel starts the job on his phone, the portal shows "On site". The manager answers a resident's question by looking at the screen.

The signed report lands in documents

The job closes and the signed service report is added to the portal's documents as a PDF. Hannah downloads it 20 minutes later.

The accountant logs in herself

North Court's accountant signs in with her own access and downloads the September invoice and the account statement. No "could you resend the invoice" email reaches the office.

It isn’t for everyone. We also spell out when it won’t fit, so nobody wastes time on a call.

A good fit

Companies whose service, maintenance and project customers ask for updates
Businesses that send customers regular reports and documents
Firms serving business customers who expect transparency

You may not need it

Businesses that work with customers only once
Work where customers don’t do anything online

On the call we talk about what your customers ask most often, and the portal shows that information first.

Customer portal software: common questions

Ask anything not covered here on the call, and we’ll send the answer in writing too.

Can the customer portal run on our own domain?

Yes. It’s published at an address such as portal.yourcompany.com, with your logo and colours.

Can a customer see another customer’s records?

No. Each customer sees only their own records, and people within the customer’s company get separate permissions too.

Can customers pay through the portal?

Yes, if a payment provider connection is added; the payment is posted to the customer’s account automatically.

Do customers have to download an app for the portal?

No. The portal runs in the browser and can be added to the home screen on a phone.

How is the price worked out?

It’s made up of a one-off setup fee and a monthly usage fee per user. Setup starts at €2,900 and includes the core and two modules; each extra module is €650. Usage is €24 per user per month, with a minimum of 5 users. Prices are in euros and exclude VAT; the final price is confirmed in writing after discovery.
